Communication – the essence of life.
Human
activity depends on effective communication. It is a process of interaction in
different forms - physical, verbal or by script. Irrespective of the language used, strategies
and parameters for success are nearly the same. Therefore, the governing
principles behind these processes deserve being understood. These include the
basic rules of grammar, construction of statements, cultural trends and usages.
However, usages are flexible and can be modified to suit formal and informal
situations. Informal communications are far more relaxed in grammar and
vocabulary; but, formal ones require different levels of perfection to suit
office protocol, legislative bodies, legal debates, academic deliberations,
spiritual discourses and international interactions of diplomacy. Each of the
formal states has a ‘language of its own’ called technical par lance. To achieve a level of confidence ideal for a technical
function, the nuances of handling the language are essential. Once the
requirements for formal needs are satisfied, switching between formal and
informal communications turns comfortable. Logically, training in formal
interactions is the right approach to identify the nuances and practising them.
It confers on the communicator - the necessary competence and confidence for
the situation.
Communication by speech
It may be informal or formal.
Informal situations:
These are casual and unplanned
interactions. So, they do not require rigid following of rules of grammar and
organized forms of speech. Yet, some degree of care gets associated with such
moments, based on the relationship between communicators. Consequently, a state
of preparedness is helpful. Being informal, passing on some message is the most
important act. In the process, greater priority goes to the message than to the
organizing of ideas.
Formal situations:
These are governed by protocols of
initiating, form of addressing, sequencing the components of information,
drawing attention to relevant precedents and appealing for disposal and so on.
So, there are pre-ordained, systematic structuring of statements with the right
terms to get the necessary directives from official functionaries. Being so,
routing it through appropriate sequence of authorities in hierarchy is logical.
Piecing together the events of the past in making coherent information is
valid. Obviously, framing the statements cognate with the protocol is of
supreme value; also there is no scope for digression to other domains. Thus,
formal situations are ‘demanding’ in every component of communication. Being of
official significance, formal situations have pre-determined styles of
expression and are the most accepted by the officialdom. Any function succeeds
only by augmenting the right tools and techniques. These are requisites of
relevance for the function. On matters
of communication, mental equipment is supreme.
